Insider Tips Part #2 - How To Get The Most Out of Your Marketing Agency

Want better results from your marketing team? These 3 simple (but powerful) strategies will help you improve efficiency, streamline content creation, and optimize collaboration—without extra cost.

Introduction

Last week on the blog, I shared my findings from the past five years about what separates our top-performing clients from the pack. At first, I didn’t think much of it—just another post sharing insights. But about halfway through, I realized the power in this information.

The difference between the top performers and the rest? It’s not rocket science. It’s small, manageable actions that compound over time. And the best part? Anyone can do these things. Any client is capable of knocking them out in no time.

This realization sent me back to the drawing board. I dug deeper, and three more simple (but powerful) strategies quickly became apparent.

So here we are—three more ways to help your business get the most out of its marketing team. The good news? These strategies are free, require minimal effort, and can make a lasting impact. Let’s dive in.

1. Write Down Content Ideas

A well-rounded small business marketing strategy includes content—photos and videos that fuel your website, social media, ads, and other marketing channels.

Once your business has a content marketing system (like Launch Kit’s Content Membership), opportunities become endless. You’ll start seeing content ideas everywhere—while unlocking your business doors, serving customers, or even in the shower.

But ideas alone don’t drive results. Execution does.

The key is to capture those ideas before they slip away. Create a method that works for you:

  • A sticky note
  • A Moleskine journal
  • The Notes app on your phone
  • A whiteboard in your office

At Launch Kit, we make idea to execution seamless. Inside your ClickUp Content List, you’ll find the Idea Garden status. When an idea pops up, don’t just keep it in your head—write it down and add it to the Idea Garden as a task.

Why does this matter? Because once you move your idea into ClickUp, you’re sharing it with the marketing team. We can start thinking about how to bring it to life.

And here’s the real beauty of our content marketing service—once you add the idea, you don’t have to lift a finger. We handle the production, editing, and posting. All we need from you is clear direction on your objectives.

The Idea Garden is a game-changer. I personally use it all the time. I’ll be out and about and think, “What if we made ____ video for ___ client?”—and boom, I drop it in ClickUp. From there, the team takes it and runs with it.

It’s amazing what’s possible when you have the right people in the right seats. Write your ideas down—we’ll make it happen.

2. Prep for Meetings

Meetings—love ‘em or hate ‘em, they’re essential for a high-performing marketing team. The difference between good and bad meetings? Execution.

Bad Meetings

  • No agenda
  • No preparation
  • No clear takeaways
  • Wasted time

These meetings leave everyone drained. No one wins.

But great marketing meetings drive business objectives, communicate clearly, and leave everyone with crystal-clear action items. Here’s the exact formula we use:

Short and Sweet – 25 Minutes

Our go-to meeting is the monthly Pulse Meeting—held during the first week of each month, with the same agenda and participants. It follows an EOS L10 meeting structure (for those familiar with EOS).

Agenda:

  1. Share business updates so we create marketing strategies.
  2. Review last month’s performance analytics.
  3. Select production day(s).

Know What to Expect = Better Preparation

Since the Pulse Meeting follows the same structure, our top-performing clients prep ahead of time. They:

  • Write their business updates into the agenda
  • Fill out scorecard KPIs
  • We do the same.

The result? Everyone walks into the meeting ready to go—with relevant, up-to-date information in front of them. The meeting becomes a space for collaboration and strategy, not catching up on what was missed.

By failing to prepare, you’re preparing to fail. Write your meeting notes in advance, enter KPIs into the scorecard, and let’s use our time wisely.

3. Set Your Notifications

We live in a world where if you don’t control your notifications, they will control you.

Here’s the good news—spend five minutes now setting up your notifications, and you’ll be optimized moving forward.

At Launch Kit, we use ClickUp for everything. But by default, ClickUp sends way too many notifications. That’s why our top-performing clients take five minutes to adjust their settings—so they only get the notifications they actually need.

What notifications matter?

  • When we message you.
  • When a task is assigned to you.
  • That’s it. No distractions, no unnecessary pings.

This makes such a difference that I’m putting my calendar link hereif you’re a Launch Kit client, book a quick call, and I’ll help you set this up today. It’s that easy.

Conclusion

Once again, I’m excited to share these tips because they’re so simple yet incredibly powerful.

The writing’s on the wall—these strategies are what separate Launch Kit’s top-performing clients from the pack.
